Microsoft 365: Send Files to Clients
OneDrive offers a secure way to send a batch of files to clients, both through the web interface and directly from File Explorer. This is particularly useful for sharing large files or when email transmission is not feasible.
Sharing via OneDrive Online
- Click the blue cloud icon at the bottom-right corner of your screen and select 'View online'.
- In OneDrive, go to 'My files', select 'New', and create a 'Folder'. Add the files you wish to share into this folder.
- Right-click the folder and choose "Share". A link creation page will appear.
- Adjust the settings by clicking "Anyone with the link can edit". Here, you can set access levels, add a password, and specify an expiration date for the link.
Sharing via File Explorer
- Ensure the folder you want to share is synced to your local OneDrive folder in File Explorer.
- Navigate to the OneDrive folder in File Explorer, right-click on the folder you wish to share, and select "Share".
- A OneDrive sharing window will appear, allowing you to create a sharing link.
- Like in the web interface, you can choose who can access the folder, set permissions, add a password, and set an expiration date for the link.
Important Considerations
- Security Practices: Be mindful of the security settings when sharing sensitive files. Use passwords and expiration dates for added security.
- Client Communication: Ensure your clients are informed about how to access the files and any necessary passwords.
- Access Monitoring: Keep track of access, especially if links are shared without password protection.
