Microsoft 365: Setting Up Email on Your Outlook Phone App


Setting up your Microsoft 365 email can be done using either the native iPhone Mail app or the Outlook app. Here are the steps for both, but remember, the process may vary slightly based on your iOS version and specific phone settings.


Outlook App

Steps to Configure:

  1. Install Outlook App: Download it from the App Store.
  2. Open the App: Launch it and enter your Microsoft 365 email address.
  3. Add Account: Tap “Add Account” and follow the on-screen instructions.
  4. Authentication: Input your email password. Complete Multi-factor authentication if configured.
  5. Grant Permissions: After entering your credentials, you may be prompted to grant permissions for the Mail app to access your email, calendar, contacts, and other data. Press "Accept" to allow access to your email account.
  6. Account Setup Complete: Your email is now ready to use in the Outlook app.


Native iPhone Mail App

Steps to Configure:

  1. Open Settings: Go to your iPhone's settings.
  2. Accounts & Passwords: Select "Mail" and then "Accounts."
  3. Add Account: Choose "Add Account" and select "Microsoft Exchange."
  4. Email Details: Enter your email address and a description for the account (e.g., Work Email).
  5. Sign In: Enter your Microsoft 365 credentials. If Multi-factor authentication is enabled, complete the necessary steps.
  6. Grant Permissions: After entering your credentials, you may be prompted to grant permissions for the Mail app to access your email, calendar, contacts, and other data. Press "Accept" to allow access to your email account. 
  7. Sync Options: Choose the data to sync (Mail, Contacts, Calendars, etc.).
  8. Finish Setup: Access your email via the Mail app once setup is complete.


Notes and Considerations

  • Variability in the Process: Depending on your iPhone model and the iOS version, the exact steps might vary slightly. Always ensure your iOS is up-to-date for the best experience.
  • Device Integration: The native iPhone Mail app offers seamless integration with iOS, making it a convenient choice for iPhone users.
  • Outlook App Features: The Outlook app allows users to directly access Shared Mailboxes, something that the Native iPhone Mail App does not support.
