Microsoft 365: Email Archive


Your Microsoft 365 mailbox includes an integrated email archive system set up with Microsoft's default configuration.

 

Default Archive Configuration

Emails older than 2 years are automatically moved to the archive. This helps manage space in your primary mailbox. Junk emails older than 30 days are automatically deleted, keeping your mailbox clutter-free.

 

Accessing the Archive System

The archive appears as a second mailbox in Outlook, making it easy to access and manage archived emails.

 

Interacting with Your Archive

You have the flexibility to manually move emails into the archive or delete them as needed.

 

You are also able to assign custom archive or retention policies to individual emails or entire folders. For individual emails, open an email, click the 'Assign Policy' icon in the Message ribbon, and select the appropriate archive or retention policy. For folders, apply archive or retention policies to entire folders for consistent management.


 

Mailbox Size Management

Your mailbox has a 50GB limit. You will receive notifications as you approach this limit. Once you reach the limit, you will be restricted from sending new emails. View your current disk usage and manage your mailbox size from the File ribbon in Outlook.
